Tell us how you can make a difference through your YWCA. Position Overview This position requires a self‑motivated HR professional who is efficient and adept at identifying and implementing solutions to improving operational effectiveness. Must ensure strictest level of confidentiality.
This position will provide Human Resources support for the YWCA Halifax. Qualifications and Requirements In-depth knowledge of Human Resources Management normally acquired through completion of an undergraduate degree in Human Resources Management or Labour Relations (Cases for Equivalency will be considered). Must have at least three to five years of progressive human resources experience including experience in recruitment, compensation administration (including job evaluation).
Experience supervising and managing staff. Strong working knowledge of employment related legislation. Ability to manage multiple priorities and meet deadlines.
Exceptional communication, verbal, and written skills. Advanced ability to research and analyze complex concepts and plan strategically. Superior organizational and administrative skills, superior knowledge of current computer applications including word processing and spreadsheet software.
Proven ability to work from an anti-oppressive and trauma-informed framework. Knowledge of and willingness to support feminist values, services focused on the needs of women and girls, and gender diverse persons. High level of attention to detail required.
Essential Duties of Position Human Resources Operations Complete compensation framework assessments for new staff members as per the policy Standardize organizational job descriptions Ensure organizational compliance with Nova Scotia labour legislation Develop and maintain HR forms and documentation systems Recruitment & Hiring Develop pre-screening questions where required Participate in interview and selection processes Ensure completion of background checks (criminal record, vulnerable sector) Ensure proper hiring documentation is completed and authorized Employee Records & Onboarding Maintain personnel files for current and past employees Implement standardized onboarding processes Ensure onboarding and offboarding checklists are up to date Maintain new hire packages Ensure employees are set up in required systems (email, payroll, SharePoint) Support & Compliance Provide end-to-end immigration support for employees requiring work authorization through programs such as the Atlantic Immigration Program (AIP) and Nova Scotia Nominee Program (NSNP) Act as the primary point of contact with Immigration, Refugees and Citizenship Canada (IRCC) and Nova Scotia Immigration Monitor and track immigration applications, deadlines, and expiry dates (e.g., work permits, Employer Registration Certificate) Maintain up-to-date knowledge of immigration legislation, policies, and program requirements Workplace Investigations & Employee Relations Lead and support workplace investigations related to employee complaints, including harassment, discrimination, misconduct, and policy violations Receive and assess complaints in a timely, confidential, and trauma-informed mannerConduct fair, impartial, and thorough investigations, including interviews and documentation review Ensure investigations follow principles of procedural fairness, confidentiality, and respect for all parties involved Prepare investigation reports and recommendations for Senior Management Support resolution of workplace concerns through mediation, coaching, or other appropriate interventions Maintain secure and confidential records of all investigations Administration & Supervision Supervise the Administrative Coordinator, HR Coordinator, and the People and Culture Training and Compliance Coordinator, including training and performance support Maintain employee databases and HR systems Maintain relationships with employment agencies and community partners Other Duties Advance the vision and mission of the YWCA Halifax. Serving on internal and/or external committees that support the YWCA Halifax’s capacity to provide quality participant support and housing.
