Job Description
The Panchrome Project is looking for an organised, proactive, and people-oriented Office Administrative Assistant to join our team.
This role is ideal for someone who enjoys keeping operations organised, communicating with customers, and supporting the day-to-day functioning of a growing creative business.
Key Responsibilities
• Answer incoming phone calls and assist customers with enquiries.
• Respond to emails professionally and in a timely manner.
• Manage customer communication across various channels.
• Maintain and update Excel spreadsheets, reports, and internal records.
• Coordinate day-to-day administrative and office operations.
• Assist with order management, documentation, scheduling, and follow-ups.
• Use AI tools such as ChatGPT, Claude, or Google Gemini to improve productivity by assisting with email drafting, document preparation, research, summarisation, and routine administrative tasks.
Requirements
• Excellent written and spoken English.
• Strong communication and interpersonal skills.
• Proficiency in Microsoft Excel, Microsoft Office, or Google Workspace.
• Comfortable using modern AI tools such as ChatGPT, Claude, or Google Gemini as part of your daily workflow. (Experience is preferred, but a willingness to learn is equally important.)
• Excellent organisational skills with strong attention to detail.
• Ability to multitask, prioritise work, and take ownership of responsibilities.
• Prior experience in administration, customer service, or office coordination is an advantage but not mandatory.
