Job Description
A well‑established creative and marketing organisation is seeking a highly organised and dependable Personal Assistant to provide comprehensive executive and personal support to the CEO. This role is critical to the effectiveness of senior leadership and requires a high level of discretion, professionalism, and initiative.
The ideal candidate will be resourceful, detail‑oriented, and comfortable working in a fast‑paced, senior‑stakeholder environment while managing sensitive and confidential matters.
Job Responsibilities:
Executive & Personal SupportProvide full personal and executive assistant support to the CEOManage the CEO’s calendar, appointments, and meetings, ensuring efficient time managementAct as the primary point of contact between the CEO and internal/external stakeholdersHandle confidential communications, documents, and sensitive information with discretionScreen calls, emails, and correspondence, prioritizing and responding where appropriate
Meetings, Events & CoordinationCoordinate and organise internal and external meetings, including preparation of agendas and materialsTake meeting minutes and follow up on action items when requiredArrange travel itineraries, accommodation, transportation, and related logisticsCoordinate meeting rooms, events, and off‑site engagementsSupport team coordination for events, including liaising with internal teams, vendors, and external partnersAssist with basic project management tasks such as tracking timelines, coordinating deliverables, and following up on action items related to client projects.
Administrative SupportPrepare, format, and manage presentations, reports, correspondence, and documentsMaintain organized filing systems (electronic and hard copy)Assist with expense claims, invoices, and reimbursement tracking for the CEOLiaise with vendors, clients, and partners on administrative mattersSupport ad‑hoc administrative and operational tasks as assigned Requirements:Diploma or equivalent qualification in Business Administration or related fieldMinimum 1–2 years of secretarial or administrative experience (agency experience is an advantage)Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook)Prior experience supporting a CEO or C‑suite executive is highly preferredStrong organizational, time‑management, and multitasking skillsExcellent written and verbal communication skillsHigh level of discretion and confidentialityDetail‑oriented, proactive, and able to work independentlyProfessional demeanor with strong interpersonal skillsAbility to work in a fast‑paced environment and meet deadlines
