Role Overview
The Compliance Officer (TiFo SME) serves as the subject matter expert and needs to work within the Operations. This role is responsible for ensuring that candidates are fully compliant, cleared, and ready for placement in a timely and efficient manner.
The position requires advanced expertise in TiFo, with responsibility for managing end-to-end compliance processes, optimizing workflows, and supporting the wider team through system knowledge, process improvements, and best practice guidance. The role demands a proactive, detail-oriented, and analytical individual who can drive efficiency while maintaining high compliance standards.
Key Responsibilities:
- Candidate Compliance & File Management• Review and process candidate profiles within the TiFo 'To Review' queue, ensuring accurate approval, clearance, or rejection of documentation• Upload and manage external reference requests and completed responses within the system• Monitor "Awaiting External Checks" to prioritise candidates nearing compliance clearance• Track and proactively manage expiring or pending compliance requirements (e.g., DBS, share codes)
- TiFo System Expertise & Process Improvement• Act as the internal TiFo expert, supporting team members with system functionality, troubleshooting, and best practices• Lead the migration of candidate data from legacy systems into TiFo while ensuring data accuracy and integrity• Identify workflow inefficiencies and implement improvements to enhance productivity and reduce manual effort• Deliver training and upskilling sessions to improve team competency in using TiFo• Utilize TiFo data and reports to monitor KPIs, identify bottlenecks, and inform operational decisions
- DBS Processing & Verification• Issue DBS application links via relevant systems • Verify DBS certificates and guide candidates on update service requirements• Follow up on delayed DBS applications with both candidates and third-party providers• Upload and track DBS checks, ensuring accurate and timely updates
- Compliance Monitoring & Reporting• Conduct daily reviews of non-compliant working candidates and take corrective actions• Monitor weekly clearance progress to ensure candidates are approved in line with business needs• Produce and maintain compliance reports, including: o Weekly candidate approvalso Re-approvals (re-cleared candidates)• Provide insights into compliance performance and risks
- Communication & Stakeholder Management• Act as the primary point of contact for compliance-related queries from candidates and internal teams• Monitor and respond to communication channels (e.g., Teams, email inboxes) in a timely manner• Manage shared and personal compliance inboxes, ensuring efficient handling of: o External references and Statements of Serviceo Consent requestso Internal and external queries

- Strong hands-on experience with TiFo • Proven experience in compliance, onboarding, or recruitment operations• Excellent attention to detail and organizational skills• Strong communication and stakeholder management abilities• Analytical mindset with the ability to interpret data and identify process improvements• Ability to work in a fast-paced, target-driven environment
