Summary of the Role The Client Services Associate is responsible for maintaining the accuracy and integrity of client account data and providing ongoing support to advisory staff on data‑related matters. Candidates will be required to attend the office five days per week.
Essential Duties and Responsibilities Perform administrative duties including data consistency, fielding phone calls, reviewing incoming mail, filing, and greeting clients. Conduct daily transaction uploads/downloads for all systems. Process new account openings in the system for new or existing clients.
Resolve any data maintenance or client account issues as needed. Process all insurance policy service requests, including address, beneficiary/ownership changes, premium mode changes, dividend option changes, and fund allocation changes. Provide the advisor with materials for upcoming meetings.
Maintain the firm’s file sharing/document storage website to keep clients’ files up‑to‑date. Print, package, stamp, and ship client materials and checks. Assist with special projects as required.
Take a proactive lead on conserving the Relationship Manager’s existing block of business by scheduling meetings, making monthly client check‑in calls, tracking all rollovers, and keeping the client updated on money in movement. Keep the Advisor informed of problematic cases. Ensure data accuracy in company records by regularly maintaining client files according to company compliant procedures.
Check in daily with the Advisor on all outstanding activities. Knowledge, Skills and Abilities Exhibit personal integrity and professional initiative. Reliable, follow through on commitments, and embrace new challenges.
Proficient in Microsoft Office. Organized, detail‑oriented, and able to manage and prioritize tasks. Committed to accuracy by delivering high‑quality work.
Excellent written and verbal communication. Collaborative and able to work effectively with others. Flexible team player who adapts to change and welcomes new ideas.
Demonstrated ability to work successfully in an entrepreneurial, small‑company environment. Education and Experience Bachelor’s degree preferred. 1–3 years prior experience, preferably within financial services. What We Offer We offer a competitive salary range of $59,000 – $78,000, PTO and paid holidays, a 401(k) with match, exclusive discount programs, health and wellness programs, and more.
The base salary will be determined by factors including experience, credentials, education, certifications, skill level, scope of the position, and geographic location. Actual base salary offered will be determined on a case‑by‑case basis. In addition, this position may be eligible for performance‑based incentives.
