Overview
Our client, a well-established and highly regarded law firm, is looking for a Corporate Legal Assistant to join their Toronto office. This is an excellent opportunity to be part of a high-performing legal team that values professionalism, excellence, and client service.
What You’ll Be Doing:
- Managing incoming correspondence and emails, prioritizing for review, drafting responses, or redirecting to appropriate team members.
- Assisting with the preparation and filing of corporate documents related to incorporations, amendments, annual returns, and other business filings.
- Coordinating travel, meeting schedules, and logistics for corporate transactions and closings.
- Supporting the preparation of presentations, reports, and materials for internal and external meetings, including board and shareholder meetings.
- Maintaining organized and up-to-date electronic and physical corporate records, including minute books and corporate databases.
- Processing lawyer expenses, reconciling reports, and ensuring adherence to firm policies.
- Opening and closing client matters in accordance with internal protocols.
- Handling time entry, docketing, and billing tasks with accuracy and efficiency.
- Managing complex calendars, coordinating meetings, and preparing lawyers with necessary documents and briefing materials.
- Liaising with clients, government offices, and regulatory bodies regarding filings, forms, and corporate compliance.
What You Bring to the Table:
- Legal Assistant Diploma or equivalent education.
- Minimum of 1+ years of experience supporting corporate lawyers in areas such as competition, financial services, business, or tax law.
- Ability to manage multiple priorities in a fast-paced environment.
- Proficient in Microsoft Office Suite (Word, Outlook, Excel, PowerPoint) and legal document management systems.
- Excellent organizational and time management skills with a strong attention to detail.
- Strong written and verbal communication skills, with a high level of professionalism.
- Proactive and resourceful, with the ability to work independently and as part of a team.
- Strong problem-solving skills and a commitment to continuous learning.
- Willingness to work flexible hours as needed.
