Director – Estate Operations
(Ultra High Net Worth Family Office)
Position Summary
We are seeking an accomplished and highly discreet Director – Estate Operations to lead the end-to-end management of multiple luxury private residences and estate operations for an Ultra High Net Worth (UHNW) family.
This is a senior leadership role responsible for ensuring exceptional standards across hospitality, housekeeping, engineering, facilities, security, administration, finance coordination and project execution. The successful candidate will act as the operational custodian of the estates, ensuring seamless execution while maintaining the highest levels of confidentiality, discretion and service excellence.
The role demands a leader who can combine luxury hospitality standards with corporate governance, operational discipline and meticulous attention to detail.
Key Responsibilities
Estate Leadership
- Lead the overall operations of multiple luxury private residences.
- Ensure all estates operate to consistently exceptional standards.
- Develop and implement long-term operational strategies.
- Build a culture of ownership, accountability and continuous improvement.
- Ensure absolute confidentiality in all aspects of estate operations.
Hospitality & Residential Services
- Maintain world-class residential hospitality standards.
- Oversee Housekeeping, Butler Services, Laundry, Wardrobe Management and Guest Services.
- Ensure readiness of residences for principals and guests at all times.
- Drive continual enhancement of service standards and guest experience.
Facilities & Engineering
- Oversee preventive and predictive maintenance across all properties.
- Ensure uninterrupted operation of all MEP systems, utilities and critical infrastructure.
- Supervise renovation, refurbishment and capital improvement projects.
- Maintain comprehensive asset management systems.
Security & Risk Management
- Work closely with security leadership to ensure safe and secure operations.
- Develop emergency preparedness and crisis response protocols.
- Ensure compliance with all statutory, health and safety requirements.
- Safeguard physical assets, information and operational confidentiality.
Financial & Commercial Management
- Prepare and manage annual operating and capital budgets.
- Monitor expenditure and financial performance.
- Negotiate and manage vendor contracts.
- Drive procurement governance and cost optimisation without compromising quality.
People Leadership
- Lead multidisciplinary teams across Housekeeping, Engineering, Culinary, Security, Administration, Procurement, Logistics and Estate Support.
- Recruit, mentor and develop high-performing teams.
- Drive performance management, succession planning and capability development.
- Foster a culture built on professionalism, accountability and service excellence.
Operational Governance
- Establish and maintain estate-wide SOPs.
- Ensure compliance with operational policies and governance frameworks.
- Drive quality assurance and operational audits.
- Monitor key performance indicators and service standards.
- Lead operational reviews and continuous improvement initiatives.
Project Management
- Oversee estate development, refurbishment and enhancement projects.
- Coordinate architects, designers, consultants and contractors.
- Ensure projects are delivered on time, within budget and to the highest quality standards.
Principal Support
- Ensure residences remain operationally ready at all times.
- Coordinate cross-functional support for principal travel and occupancy.
- Anticipate operational requirements proactively.
- Deliver seamless execution with minimal supervision.
Candidate Profile
Essential Experience
- 18–25+ years of progressive leadership experience.
- Experience managing luxury private estates, family offices, ultra-luxury residences or comparable hospitality operations.
- Demonstrated success leading multidisciplinary teams.
- Strong operational, financial and project management expertise.
- Experience managing high-value assets and luxury environments.
- Proven vendor and stakeholder management capabilities.

Reporting Relationship
Reports to the Principal / Family Office Leadership.
Responsible for all estate operational functions across multiple residences and associated support teams.
Compensation
Compensation will be commensurate with experience and aligned with the calibre expected for this strategic leadership position.
