Our client in the manufacturing and distribution industry is currently seeking an Human Resources Specialist to join their team on a 12 -month contract . This role follows a hybrid working arrangement requiring three days onsite and two working remotely each week at their Mississauga office. Key Responsibilities: HRIS Administration and Data Integrity Maintain all employee data in Success Factors with accuracy, including new hires, terminations, status changes, compensation updates, and reporting structure changes.
Support Payroll Data input by working with internal People & Culture Team to ensure all changes are captured and communicated to Payroll. Conduct regular data audits to identify and correct inconsistencies, duplicates, and gaps; consolidate employee information from scattered sources into Success Factors as the single source of truth Onboarding and Offboarding. Execute end-to-end onboarding for all new hires, including system setup, background checks, benefits enrollment, orientation scheduling, and equipment coordination with IT.
Process employee terminations, including system updates, final pay calculations, applicable federal and provincial/state separation requirements, and exit logistics. Maintain and track onboarding plans with hiring managers; continuously improve onboarding and offboarding checklists based on feedback Compensation Data Support. Maintain compensation data in auditable spreadsheets and systems; support the Director and HR Services Lead during annual compensation and performance review cycles with data, reporting, and administrative execution HR Documentation & Letters.
Prepare and manage HR documentation, including employment, compensation, promotion, termination, and other employee-related letters. Maintain and update employee files and records, ensuring accuracy, completeness, and confidentiality in compliance with company policies. Reporting and Dashboards.
Maintain reporting dashboards in Excel /PowerBI, and other tools covering headcount, turnover, time-to-fill, and compensation distribution; prepare ad hoc reports for leadership as requested Process Improvement & Projects. Identify and implement opportunities for process improvements and efficiencies. Support HR projects and initiatives as and when needed, including process improvements, system implementations, and audits.
Assist with ad hoc HR tasks, documentation, and cross-functional projects to support evolving business and People & Culture Team needs. Qualifications for Success 2+ years of experience in People Operations, HR Operations, or HRIS administration. Hands-on experience administering an HRIS platform such as Success Factors, familiarity with ADP & UKG is a plus.
Advanced Excel proficiency, including formulas, pivot tables, lookups, and dashboards. Experience executing end-to-end onboarding and offboarding processes. Basic knowledge of US and Canadian employment legislation and data privacy frameworks.
Ability to handle confidential and sensitive employee information with discretion. Strong attention to detail with a proactive approach to identifying and resolving data issues before they escalate. Strong written communication skills with the ability to document processes clearly and flag issues proactively.
