Job Description
Key Responsibilities: -
• Oversee day-to-day office administration by conducting opening and closing checks, ensuring
workplace cleanliness, supervising housekeeping, and maintaining office infrastructure,
facilities, and workstations.
• Coordinate office maintenance, preventive servicing, deep cleaning, and new employee
workstation setup, including seating, system allocation, ID cards, and other essential office
resources.
• Manage end-to-end vendor relationships by identifying, evaluating, onboarding, and
coordinating with vendors for office maintenance, repairs, procurement, and other
administrative services.
Obtain quotations, negotiate commercial terms, track vendor deliverables and service
schedules, verify invoices, and raise purchase requests for office supplies and operational
requirements.
• Coordinate basic IT support with internal teams and external vendors for internet connectivity,
laptops, printers, NAS, and other office systems, while ensuring the smooth functioning of
office equipment.
• Maintain and periodically verify the organization's asset inventory, including laptops, printers,
furniture, and office equipment, ensuring accurate allocation and tracking records. Manage
multiple projects and meet deadlines efficiently.
• Support HR operations by coordinating employee onboarding and offboarding, managing
biometric systems, preparing HR documentation, and ensuring smooth employee access, asset
handover, and attendance management.
• Assist in employee engagement initiatives, office events, and day-to-day administrative
support, including printing, scanning, and other employee service requirements.
• Manage front office operations, including visitor coordination, courier management, and
meeting room logistics to ensure smooth day-to-day administrative operations.
• Provide administrative and clerical support to management and employees, handling
documentation, urgent requests, and other operational requirements efficiently.
• Manage pantry, stationery, and office supplies inventory by monitoring stock levels,
coordinating procurement, and ensuring timely replenishment of essential consumables.
• Support office compliance and safety by coordinating fire safety documentation, conducting
basic facility safety checks, and tracking utility bills to ensure timely payments and
uninterrupted operations.
• Prepare and maintain office expense reports, verify employee travel and cab reimbursements,
and ensure accurate administrative records and documentation.
• Coordinate studio bookings, equipment hiring, and documentation for production shoots, while
supporting the planning and execution of company events, employee engagement initiatives,
and other corporate activities.
• Provide administrative support during peak operational periods and extended office hours,
assisting management with urgent administrative, operational, and facility-related requirements
as needed.
