Job Description
Key Responsibilities1. Personal & Life Administration• Manage personal errands, appointments, and commitments (medical, banking, documentation,renewals, etc.)• Handle personal travel planning (itineraries, bookings, changes, follow-ups)• Track important dates, reminders, and obligations (personal & family-related)• Coordinate household-related tasks, vendors, and services as required• Act as a trusted executor for sensitive, time-critical personal mattersThink: You make things disappear before they become problems2. Professional Support & Day-to-Day Enablement• Be the COO's right hand for execution, not strategy• Manage follow-ups, reminders, and action tracking from meetings or discussions• Prepare basic briefs, summaries, notes, or reference material when needed• Coordinate selectively with internal teams for information, documents, or closures• Ensure key documents, files, and information are organized and easily accessible3.
Scheduling & Coordination• Manage critical business and personal calendar coordination• Screen requests and help prioritize time based on urgency and importance• Coordinate logistics for meetings, travel, or internal/external engagements• Act as a buffer to reduce unnecessary noise and interruptions4. Confidentiality, Trust & Judgment (Non-Negotiable)• Handle sensitive personal and business information with complete discretion• Exercise judgment on what needs escalation vs. silent execution• Be dependable, calm, and unflappable, especially under pressure• Represent the Founder professionally in all interactionsWho Is This Role ForYou are someone who:• Enjoys making other people's lives run smoothly• Is deeply organized but not rigid• Has a natural instinct for follow-through• Is comfortable handling personal work - not just corporate tasks• Takes pride in being reliable, invisible when needed, and indispensable alwaysRequired Experience & Skills• Minimum 6-8 years of experience as an Executive Assistant, Personal Assistant, or Secretary• Prior experience supporting Founders, Promoters, or Senior Leaders• Strong written and verbal communication (English required)• High comfort with WhatsApp, Email, Google Workspace, Basic docs• Ability to multitask, prioritize, and execute without handholding• High emotional intelligence and situational awarenessWhat Will Make You Successful Here• You anticipate needs before they're articulated• You close loops relentlessly• You don't drop balls - ever• You understand that trust is the currency of this role• You are comfortable blending personal + professional boundaries with maturity
