WOW India Travel & Tours is an inbound destination management company operating across India, Sri Lanka, Nepal, Bhutan and the Maldives.
We work with international tour operators, travel agencies and travel partners, handling FITs, leisure groups, special-interest tours, incentive movements and customised travel programmes.
We are looking for an experienced inbound-tourism professional to join our Operations Department at our Gurgaon office and handle business from the Japanese market.
About the Role
We are hiring a Senior Executive / Assistant Manager – Japan Inbound Operations.
The selected candidate will be responsible for the end-to-end operational handling of Japanese FIT and group movements travelling within India.
Prior experience handling the Japanese inbound tourism market is mandatory. Knowledge of the Japanese language is not required.
Practical operational experience, accuracy, discipline, punctuality and an understanding of the service expectations of Japanese travellers and tour operators are more important than Japanese-language ability.
The final designation—Senior Executive or Assistant Manager—will depend on the selected candidate’s experience, current responsibilities and ability to independently manage operations.
Key Responsibilities
• Handle end-to-end operations for Japanese FIT and group movements
• Coordinate with hotels, transporters, guides, restaurants, representatives and other destination suppliers
• Manage bookings, confirmations, reconfirmations, amendments and cancellations
• Prepare and maintain rooming lists, vouchers, service orders, movement schedules and operational files
• Review itineraries for routing, timings, inclusions and operational feasibility
• Coordinate airport arrivals, departures, intercity transfers and sightseeing movements
• Brief guides, representatives, drivers and suppliers regarding client-specific requirements
• Monitor live tours from arrival until departure
• Ensure that all services are delivered accurately, punctually and according to confirmed standards
• Coordinate closely with overseas tour operators and internal sales, reservations and accounts teams
• Manage last-minute requests, operational changes, complaints and emergencies professionally
• Maintain accurate supplier rates, booking records, costing details and operational documentation
• Follow up on service feedback and assist in resolving operational issues
• Support the development and improvement of programmes for the Japanese market
• Maintain the high level of attention to detail expected by Japanese clients and partners
Required Experience and Qualifications
• At least 3 years of experience in inbound-tourism operations
• Direct experience handling inbound FIT or group movements for the Japanese market
• Prior experience with an inbound tour operator, destination management company or travel company handling inbound tours in India
• Good operational knowledge of major Indian tourism circuits and destinations
• Experience coordinating hotels, transporters, guides, restaurants and other ground-service suppliers
• Strong understanding of operational documentation, movement planning and tour monitoring
• Excellent attention to detail and accuracy
• Good written and spoken English
• Strong organisational, coordination and problem-solving skills
• Ability to manage multiple operational files simultaneously
• Ability to remain calm and responsive during last-minute changes and emergencies
• Proficiency in email, spreadsheets, documents and standard office software
• Willingness to work full-time from the company’s Delhi office
Preferred Experience
• Five or more years of overall inbound-tourism experience
• Two or more years of direct experience handling the Japanese inbound market
• Experience handling Japanese series groups or repeat departures
• Experience managing a tour from confirmation through final departure
• Familiarity with Japanese meal requirements, guide coordination, punctuality standards and service expectations
• Existing working relationships with hotels, transporters, guides and other Indian tourism suppliers
• Experience supervising junior operations staff
• Experience in itinerary planning, costing or quotations
Japanese-Language Requirement
Knowledge of Japanese is not mandatory.
Candidates who do not speak Japanese are fully eligible, provided they have relevant operational experience handling Japanese clients, groups or overseas tour operators and can communicate effectively in English.
