Role Summary Site material logistic and doc control to oversee subsea structures construction material logistic aspect and support doc control process and to be based at Fabricator yard.• Location: Residential role based in Bintan or Batam, Indonesia.• Day to day reporting to the Fabrication Site Manager with a functional line to the Material Planning Team.• 6 day working week 10 hours per day however flexibility is expected on working additional days or hours where required to support the schedule.• No formal rotations but acknowledge the need for ‘normal’ holidays arranged at the discretion to meet the project needs.• Following mobilization, Site Materials and Logistic Lead shall be the single point of contact for all issues related to material management and logistics. Essential Responsibilities: Understand, implement and follow regulations.Provide overall project material required at site and logistic support.Work and collaborate closely with sites globally and subcontractors supplying project equipment, ensuring timely follow up of material readiness for shipment from OEM to fabrication contractors.Follow up where necessary customs clearance process to ensure smooth material movement.Ensure necessary export/import and logistic compliance documentation are appropriately prepared in advance for smooth material movement.Coordinate with fabrication contractor to ensure correct processes and procedures from material receiving, inspection, inspection report, storing, issuing to site and balance inventory count are followed and tracked.Conduct weekly meetings to identify, prioritize, and aggregate delivery requirements, balance delivery resources with delivery requirements and establish delivery plans.Sets up and follows through expedited shipments, tracking internal and external freight.Reports on shipment status to the SPS project team and client where necessary.Provide transportation solutions for meeting client requirements.Oversee logistic management progress from picking and packing products, Ready to Ship and to load and ship product. Execute, track and audit all incoming and outgoing loads, optimize product and location dimensions to maximize storage capacity, reduce process bottlenecks and product damage.Ensuring all necessary documentation is supplied and accurate to ensure a smooth movement of goods both domestically and internationally.Coordinate expediting requirements, troubleshoot and resolve any issue with missing material, shipping problems, miss-labelled material.Ensure regulatory compliance with legislation governing the transport of materials both hazardous and non-hazardous by land, sea and air.Review and/or raise work processes and procedures to ensure internal control measures meet the audit requirements and the needs of the Project Contract.Manage customer service levels and implement processes and procedures to meet the client's expectations and report of OTD.Liaise and interface with all levels of personnel on project and fabrication contractors.Interface with fabrication contractor to ensure compliant processes for material management are followed include raising material incoming inspection report, damage/defect notification in timely manner as per Project Contract.Collaborate with fabrication contractor to manage inventory of project equipment and balance, ensure to communicate issues and shortages in advance.Ensure the development and continual improvement of systems and procedures for operating and managing information, processes, physical facilities, and equipmentManage, record and control project and fabrication documentation control flowCoordinate with HQ documentation control team to ensure smooth project and fabrication documentation review cycle.Functionality reports to HSE Manager.Operationally reports to Operations Manager/ Project Manager/ Location ManagerTo manage and advise location/project team on HSE matters.To ensure all applicable HSE program, HSE initiatives, HSE legislation, HSE lesson learned and HSE Training are cascaded, communicated and implemented at the work location/ projects.To liaise with respective customer’s representatives and attend customer’s meeting in regard to HSE matters.To review (and revise if permitted) critical project HSE procedures and documentationTo record, review and update HSE performance and statistical report (manhours, incidents, HSE Inspection, Observation.) for work location/ project.To ensure all HSE incidents are reported into Gensuite and investigated within the time frame given.To collect all information, evidence, photo, witness statement and other applicable documentation in order to support the incident investigation process.To monitor, track and assure employees health profile and training recording including Competency Management Program (CMP), Learning Management System (LMS) and external training (aligned with Projects SOW).To manage project in all phases (Plan, execute and control) by developing HSE Management Plan, Job Site Inspection, incident investigation/ reporting and audit.To provide “hands on” HSE support at the work location/ project as assigned.To act as Project HSE Leader (if assigned) and ensure the right implementation of Project HSE Plan, Emergency Response Plan and other applicable Plan as Authorized Qualifications/Requirements: Degree in appropriate discipline or equivalent experience.
Lower-level education may be acceptable provided that the relevant experience exceeds seven years.Minimum 10 years’ relevant industrial experience in Material and Logistic on Construction phases ofOil & Gas Subsea projects. Experienced with manifold fabrication.Commercial and contractual awarenessGood communication, interpersonal and negotiation skillsExperience in a client facing roleSkilled in both English and Indonesian languageProven capability of working in a matrix environmentTeam player, self-motivated and energetic individual.
