Tenant & Vendor Coordinator (Remote, India — US Property Management)

Location: Remote — India

Shift: US CST hours, Monday to Friday 

We are building the operational backbone of a growing US property management company, and we are looking for someone early in their career to grow with us. 

About us 

Prompt Property Management LLC (PPM) is a Houston-based property management firm founded in 2019. We manage residential portfolios across the Houston metro region and a commercial office building in North Houston. We are lean, founder-led, and entering our next growth phase. 

Why we are hiring 

Our Property Manager (Shrey) is spread thin as we onboard new clients. Our Operations Manager (Prasanta) is focused on building out our systems, Buildium workflows, and AI-assisted automation. We need a dedicated Tenant & Vendor Coordinator to own the daily flow of work orders, vendor calls, and applicant coordination — so the rest of the team can focus on scaling the business. 

What you will do 

• Manage tenant work orders end-to-end — from diagnosis to vendor dispatch to completion 
• Coordinate directly with US-based vendors over phone and email 
• Communicate with rental applicants about property visits, documentation, and leasing steps 
• Keep our records clean in Buildium and across our workflow tools 
• Grow into more responsibility as the company grows 

Who we are looking for 

• Freshers to 1-2 years experience — recent graduates strongly encouraged 
• Background in Accounting, Finance, BBA, BBM, or Business Administration 
• Strong English communication — you will be on US phone calls daily 
• Highly organized, detail-oriented, and comfortable managing multiple open items at once 
• Someone who wants a long-term role at a small growing company, not a stepping stone 

Plus points (not required) 

• Prior property management experience (Buildium, AppFolio, Yardi, or similar) 
• Accounting software experience (QuickBooks, Zoho Books) 
• Phone-based customer service background 
• Familiarity with AI tools like Claude or ChatGPT — we use AI daily, and knowing Claude specifically is a bonus 

Compensation 

• Training period (3 months): training-level rate, finalized based on candidate profile 
• Post-training: ₹25,000 – ₹35,000 per month (₹3.00L – ₹4.20L CTC) 
• Payment monthly, INR direct bank transfer 
• Fully remote, US CST hours (approx. 6:30 PM – 3:30 AM IST)

Skip-level: Prasanta Roy (Manager, Operations & Systems) 

Ultimate: Satheesh Sadasivan (Director of Operations)
