Job Summary
We are seeking a detail-oriented and proactive US Accounts Executive to manage end-to-end accounting activities for our US staffing operations. The role involves hands-on exposure to Accounts Receivable, Accounts Payable, billing, collections, and payroll-related accounting, ensuring compliance with US accounting standards and timely financial operations.
Key Responsibilities
Accounts Receivable (AR)
- Prepare and process client invoices for US staffing services (W2, C2C, 1099).
- Ensure accurate billing based on timesheets, contracts, and rate agreements.
- Follow up on outstanding receivables, collections, and resolve payment discrepancies.
- Maintain AR aging reports and ensure timely cash flow.
- Coordinate with sales and recruiting teams to resolve invoicing or payment issues.
Accounts Payable (AP)
- Process vendor invoices, consultant payments, and expense reimbursements.
- Verify invoices against contracts and approvals.
- Manage payment cycles (weekly/bi-weekly/monthly) for vendors and consultants.
- Reconcile AP balances and resolve vendor queries.
Payroll & Compliance Support
- Support US payroll accounting entries and reconciliations.
- Work with payroll vendors for accurate payroll processing.
- Ensure compliance with US taxation, labor laws, and staffing regulations.
- Maintain proper documentation for audits and compliance reviews.
General Accounting & Reporting
- Prepare journal entries and assist in month-end and year-end closings.
- Reconcile bank statements and general ledger accounts.
- Generate MIS reports, AR/AP summaries, and financial dashboards.
- Support internal and external audits.
Skills & Qualifications
Educational Qualifications
- Bachelor's degree in Commerce, Accounting, Finance, or related field.
- CA Inter / CMA / MBA Finance (preferred, but not mandatory).
Technical Skills
- Strong knowledge of US accounting processes.
- Hands-on experience with AR, AP, billing, and collections.
- Familiarity with US staffing business models.
- Experience using accounting software such as QuickBooks, NetSuite, SAP, or similar.
- Proficient in MS Excel (VLOOKUP, Pivot Tables, basic formulas).
Soft Skills
- Excellent communication skills for interacting with US clients and vendors.
- Strong analytical and problem-solving abilities.
- High attention to detail and accuracy.
- Ability to work in US time zones.
- Team player with the ability to work independently.
Preferred Experience
- Experience in US IT staffing or recruitment firms.
- Knowledge of W2, C2C, and 1099 billing models.
- Exposure to US payroll and tax filings is a plus.
